Financial Report

  • Last month we took in $1100 in dues and $1200 for the Conference

     

    Membership Report

  • 200 Active memberships

  • Elections are next week.  President, VP2, Director of Philanthropy, and Treasurer are up.  All of them are running for reelection

  • Internal Audit - we are seeking volunteers to conduct an internal audit of or books, preparatory to being able to apply for grants.  The time and place have not been set.  Brooke promises to buy volunteers lunch, and maybe beer.

  • Dues Increase.  After nearly 30 years, the board is proposing to raise the dues by $20/year to account for increasing costs.  We will vote on the increase at the next business meeting (February)

  • Jessie Blume: The Weatherford Public Library is setting up author programs for August.  See Jessie if you're interested.

  • The conference will be May 6-7 at the Dallas Sheraton.

  • Next week before Workshop we will host a small book-signing party for Tex since she didn't actually have books for the other one

  • Wells Fargo account closed.  $8000+/- transferred to Conference Odd Year Account.  $20000 will move to Conference Even Year account in April

  • Main account has Aprox $17,000

  • Conference Odd has Aprox $64000

  • PayPal account has Aprox $3000

  • Total funds Aprox $94,000

  • Karen has about 20 years worth of physical documents.  She will organize the last 3 and shred the earlier ones.

  • Self Audit for 2016 needs to be scheduled

  • 2017 Workshop budget needs to be drawn up and approved

  • No blog posts since October.

    • Brooke will ask new member Lauren Sudeberg, who has a book coming out soon

  • The Residency website is now live

    • We will email the Conference and Workshop lists to let them know

  • Old/inactive accounts will be purged from NationBuilder to save money

  • NationBuilder gets more expensive next year.  We are looking at cost/benefit.

  • The spring LIFT supplies drive is slated for May.  LIFT may have a presence at the Conference

     

    DFWCon – Jason Meyers

  • 134 current registrations

  • About $3,200 in collected fees, which is about normal for December.  The big push is Jan-Mar.

  • Jason is about to mail out the reminder cards that were implemented last year.

     

    Writers Residency – Jason Meyers

 

  • Page is live and hooked up to Submitible

  • Advertising is ready.  We were waiting till the back end was fully in place.

  • Conference and Workshop members (and former members) are not eligible - which makes sense, because they already live here.

      Writers Bloc – Tex Thomson

 

  • Schedule for the next 4 months is set.  It's designed to dovetail into the conference in hopes of driving up conference registrations

  • The back end will be set up on the website tonight

  • Brooke will set up the Facebook stuff tomorrow

  • We have been invited back to ArlingCon for panels and a table in the exhibit hall

     

    2017 Dues and Fees discussion

 

  • We are proposing to raise the dues to $120/year

  • We are proposing to cap the Conference discount at the break-even point for a conference attendee (currently about $225) so Workshop membership means the Conference doesn't profit on your attendance, but at least doesn't lose any money.

  • The last Writers Bloc was very successful.  About 35 in attendance. 4 new member prospects.
  • The next one will have a topic and promotional message for the Conference, and Conference members in attendance.
  • There are already 40 RSVPs.

 

Conference-- Steve Manning

  • 7 memberships sold today.
  • Overall sales are way down.  We have 252 sold, and need around 300 to break even. 
  • The Conference Committee is cutting costs in response to the lower attendance projections
    • Cancelling director's dinner
    • Cancelling meals for VIPs
  • They are also trying new venues to increase income
    • Groupon packages for special workshops
    • Google adds
    • Flyer distribution to veterans' groups
  • Advertising the educational discount to draw in more teachers
  • Brooke will send out another email to the Workshop
  • The Board will look into contacting past attendees who are not registered at this time.

 

Writers Residency-- Jason Myers

  • The Residency has been canceled due to lack of interest.  Refunds have been issued to the 16 entrants.
  • Related-- Jason and Brooke have submitted our first inquiry for grant funding.

 

 

40th Anniversary: Brooke Fossey

  • The venue is booked.
  • Catering and venue have come in at $5000, without a servers.  The budget was $4500.  At this point, it is unlikely we will find lower bids.
  • Motion to spend $1000 from the Workshop passes.

 

WORDFest: Tex Thomson/Brooke Fossey

  • The DFWWW has not yet put in its door prize (requested for having a table at the event).  Brooke motions to give away a free membership.

  • Karen has started the 2016 tax return
  • Per Brooke, we need to look into additional documentation of our non-profit status.

  • 173 active members

 

Conference Report - Steve Manning

  • The 2017 conference will break records for attendance and most tickets sold
  • Despite heroic efforts, the conference is still likely to take a loss of around $20,000.  This is much better than the loss anticipated last month.
  • Lessons for next year
    • Narrower early-bird window.  We had a lot of early sign ups, which is good, but costs us some profit margin
    • Less expensive venue.
    • Better projections of 1-day tickets.  Those were a new item, and our predictions weren't very good
    • Not paying keynote speakers.  The money we paid was not offset by ticket sales.
    • New revenue streams like expanding the editing workshops and more merchandising.
  • Latest update: Severe weather may prevent 6 guests from attending.  The Conference Committee is looking at flying them in early, which will incur some extra costs.
  • Per Brooke, the Conference Committee needs to be ready to implement QuickBooks in 3 months.

 

Writers Bloc - Tex Thompson

  • Tex is busy until mid July.  This leaves 3 options for the summer program
    • Just skip the summer
    • have a substitute host
    • Do on-line events all summer, which will also save some money
  • The Board agrees on option 3.

 

Philanthropy Report - Stacey Khunz

  • LIFT presence at the Conference is on schedule.
  • We need to advertise them on the DFW Con Inner Circle Facebook group.

 

Elections

  • VP1, Director 2, and Secretary are up.  Rosemary, Brian, and David are not running for reelection.
  • Brian would like to discuss his idea for an Executive Board at the next planning meeting in July.

 

Arlingcon - Tex Thompson

  • The APLS has invited us to participate again
  • Panels last year were not well received
  • Rosemary will discuss with the Library liaison some kind of mini writing workshop.
