  • Conference (Steve):
    • The conference budget was discussed and approved. The board agreed to hire a promotional agency to help improve the conference marketing in 2018.
    • Invitations have gone out to speakers.
  • Elections: Treasurer, Second Vice President, President, and Director of Community Outreach are all available.
  • Karen mentioned that we need to check on the P.O. Box and make sure it’s paid up.
  • Second VP of Events and Planning will now be in charge of Writers Bloc.
  • Tex talked about Writers Bloc and whether it should stay at Interabang.

  • Harry Hall said that he received an email from Gregg Salverson who wrote a paper and used Harry’s book as a reference. He has submitted the paper to an MIT conference.

Announcements:       

  • If you’re interested in taking part in the Nanowrimo “Four Corners” write-ins, please see Stacey Kuhnz or check our Facebook page and Twitter feed. So far we have a write-in happening in Richardson, Mansfield, and Keller. We’re looking for another spot to have the fourth write-in. We also have a write-in at the Grand Prairie Central Library on Conover Drive.
  • Russell Connor will be interviewed on the Book Geeks Uncompromised podcast on November 9. He will also have a reading at the Fort Worth Restaurant of the Mind bookstore on November 11.
  • We have an official Writers Bloc this sun from 5-7 at Interabang books. It is a free class. The subject is “How to Get Your Writing Groove Back.”
  • Larry Enmon had his book Wormwood published in UK and Australia last Wednesday. Thanks everyone for their enthusiasm.
  • If you do have something you like the workshop to recognize on social media, connect with Katie Bernet.
  • C.J. Crittenden is a freelance writer with Dreamfly, and she needs a freelance editor for a senior who’s written about her family history.
  • Members may be interested in a podcast called Hidden Scribe by Mark Millien. Mark is looking for guests who haven’t been published traditionally or all, and you can read your stories and they put sound effects to it. A great way to get something out there.
  • Chicago Manual of Style has a new edition (17th), so please join the Editorial Freelancer’s Association at the Dallas Downtown Public Library for a party and review of the relevant changes in the guide, as well as an overview of other style guides.
  • Brooke we have elections second week in January. Treasurer is open, and we’re now using QuickBooks. Stacey’s Job, Community Outreach, is available. And VP 2 is available (Candice), as well as Brooke’s position as president.

  • Social Media (Katie):
    • Brooke is going to talk to Katie about tagging blogs (SEO) so that members and those interested in the blog’s subject can find them easier.
    • Our blogs have no graphics except for the DFWWW logo. We’d like to look into adding some visual diversity on the feed. We can use Brooke’s account for Picmonkey for the graphics.
    • George Goldthwaite used to do the copy edits for the blogs, and we need to make sure we have someone who will copyedit them.
    • Membership  (John):   
      • We have 168 members
      • Regarding the number of Workshop members we gain from Writer’s Bloc, 57 of the 290 Writers Bloc members are DFWWriters’ Workshop members.
      • John will work on cleaning up the membership list, merging duplicate member entries, and downloading nation builder data that could be used for conference communication.
      • Nanowrimo:
        • We have filled all our host locations for write-ins for the Four Corners (each point of North Texas).The write-ins occur each day of the week, Monday through Friday, at different locations. Hosts are Candice, Brooke, Stacey, and Tucker (who is doing two locations). We’ve already put out flyers for the write-ins.

 

  • 2018 Conference (Steve):
    • We’ve had our kickoff meeting and will send out invitations out to agents and editors soon.
    • We still haven’t gotten a keynote speaker from the Interabang contact.
    • Challenges: We’ve lost four team members from last year, and Steve has talked to Tom Bont and Pam about joining the team.
    • We talked about a new conference treasurer, and that the job will be simplified by the use of Quick Books
    • We’ve made $17,000 plus dollars, June through October, in ticket sales.

 

  • Writers Bloc: We have a December event, but no location. Tex is stepping back, but she wants Writers Bloc to continue. We will talk at the executive board meeting about what Writers Bloc will do.

 

  • Financial Report: Karen Ferrell
    • Our balance is currently $83,382,06.
    • Karen gave last year’s budget to Brooke for the upcoming board meeting at the country club. $3305 we spent this on the 40th anniversary.

           .

  • Executive Planning Meeting:  December 3, 2017. There’s a $250 minimum for food and drinks at Las Colinas, so we are going to have it at Texas Star, which has a $100 fee for room, and everyone pays for food and beer.

 

  • Bylaws: We will officially change the VP titles so that they contain a more detailed job description; this way everything we’ve built will continue once we change officers.
    • First VP job: We are considering assigning three events to this title: Writer’s Bloc, Writer’s Bloc, and Nanowrimo.
    • Second VP job: Speaker’s bureau, library liaison. North TX Giving day and the write-ins for Nanowrimo.
    • At the upcoming board meeting, we will discuss making sure each board member has a defined role that is published, in detail.

 

 

  • Elections: Karen’s (treasurer) and Candice’s (VP) positions are up for election. Candice isn’t sure she will run, but Brooke and Karen are not running. Stacey’s position, Director of Philanthropy is also available.

 

  • There is a Workshop Linkedin page on which you can claim your board position.

  • Social Media (Katie)
    • Stacey will write an article for the website for October, “How to Make Time for Writing.” Leslie will write “How To Be the Best Possible Beta Reader” for December, and Pam S. will write “How Do You Work up the Courage to Read in Front of Others” in the new year.
    • Katie will be prepping four to five tweets a week using tweet deck.
    • We have close to 4,000 followers and may do some kind of push
    • Membership  (John): currently at 165.
    • Fort Worth Book Festival and Indie Book Fest coming up on October 14. We will have a significant presence at the FW Book Festival. Stacey will wants to clarify where we will put all of our resources, since we thought we’d be more on the critique side of the panels. It looks like some of the topics have been combined into two panels, which may not be ideal. Brooke wants to make a flyer about the times and the topics for both events and about authors. 
    • Nanowrimo: Stacey needs host locations for write-ins for the Four Corners (each point of North Texas).Candice has a few leads on a fifth location. Once we have all the locations, we will make a flyer with all the locations. We discussed Words recent push to advocate Nanowrimo and how they’ve centralized.
    • Lift: Book drives for the organization haven’t been producing books they can use, so they’d like to have a fund drive or perhaps work through an Amazon wishlist. We talked about getting a physical list of books they would like and passing it out to members.
    • 2018 Conference (Steve):
      • The kickoff meeting will be in the next two weeks.
      • The conference committee needs a new treasurer. Steve needs someone to write checks, but the harder part is the financial reporting, finding someone who will create a report every month of what was spent and what was gained. QuickBooks may be a tool that can help us do the reporting. We discussed possible members who could fill that role.
      • We currently have 65 writers enrolled for the 2018 conference.
      • When we have the keynote nailed down, we’ll start to promote the conference. We’re considering marketing the conference in December to encourage people to buy it as a gift for the writers in the family.

 

  • Writers Bloc: October’s event is at the FW Book Festival. Tex is still looking for locations for November and December, but she wants to step back from Writers Bloc. We need to find someone to step into that role in 2018. John will find out how many members we’ve gained who joined solely for Writers Bloc materials online.

 

 

  • Financial Report: Brooke Fossey
    • Our balance is currently $82,855.67. At the same time last year, our balance was $84,584.94.  
    • Our security payment will go up in January by $5 an hour; the total cost of Wednesday night critique security moves up from $105 to $115.

 

  • Author Support (Brooke):
    • We need to have Katie check into the teen workshop email because it’s been inactive.
    • Something we’ve been referring to as “speaker’s bureau” has been dormant for a while, and we talked about the possibility of bringing it back. One option is to organize our authors’ information and proactively email libraries and newspapers. It would also be great to have uniform formatting and content guidelines for their press kits.

 

  • Word: We will probably have Tex talk to the board at the next board meeting.

  • October 25 is Halloween reads and potlucks.

  • Larry Enmon announced that the cover of Wormwood is finalized (British version with Bloodhound Books), and the book will be released soon.

  • Jerry Gladstone announced there is a TV Series on PBS about Vietnam and suggests members watch it if they’re interested in writing about Vietnam. He also mentioned there are many vets in the group to consult as well.

 

  • The second episode of the online series “Rowdy and Friends” will be posted on Monday – appearances by Russell and Alex.

 

  • Stacey Kuhnz – October 14 is a big day. We have members participating in the Indie Author’s Book Fest, and Fort Worth is putting on a BookFest. The DFW Writer’s Bloc is taking a field trip together to visit Fort Worth’s BookFest, and we encourage members to attend either the Indie event at the Dallas downtown public library, or the FW BookFest at the TCC Trinity River Campus.

Tristan has stepped down as director of social media for personal reasons. Tom Bont and Katie Bernet were both eligible for a board vote to replace him, but Tom Bont has stepped aside.

Katie Bernet will be taking the position of director of social media.

Membership update: We have 175 members. Brooke suggested that John contact Nation Builder to help clean up the membership list.

Philanthropy update:  Kunhz

Fort Worth Book Festival, October 12 - 14: We have an exhibitor table on October 14. Stacey will assign topics to the eight panelists. She’s also going to find a few people to represent the table.

Indie Author Day, October 14: The official proposal went out on September 6. The opportunity to sell books comes at no cost.  We will be helping at the Fort Worth Downtown event or the Dallas Downtown Library event. Coppell Library asked about getting some support from the DFWWW, but we haven’t decided if we’ll be partnering with them.

Nanowrimo: We have two commitments for the four corners write-ins. Candace suggested that we do a write-in in Arlington.  Stacey would like to have an Instagram for our organization, not just the conference, so we can promote the write-ins, and we’ll also have a flyer that includes the dates and locations of all of those events.

Taking Donations and Membership fees: We discussed whether using the “square” would be a more convenient way to charge people’s credit cards. Board members are researching the costs associated.

North Texas Giving Day, September 14: Candice

We will post notices regarding the event on the official DFWWW workshop page, and some of our donations will go to a Hurricane Harvey fund. We’ll have some advance notice to members starting the Monday before the event. On the day of the event, there’s an opportunity to represent the workshop from 7:30 - 9:00 a.m. in Sundance Square, which might also give us some exposure on TV.

Candice will put together 1) the copy for the official email Monday morning, 2) copy for a 140 character tweet, 3) copy for the Facebook post, (each day we do a social media blitz) and 4) create a banner for the website.

Writer’s Bloc: Tex Thompson

We determined that we can’t do a Nanowrimo write-in at Interabang because they don’t have the tabling for that, although we can have speakers in this venue.

October: This is a busy month for writing events, which means getting air time for our Writer’s Bloc will be tough. The group decided to have our Writer’s Bloc occur at this year’s Fort Worth Bookfest, during which we highlight the DFWWW upcoming events. Tex will advertise the panel titles as Writer’s Bloc events.

November: We will no longer have a NanoWrimo write-in on Saturday, November 18. Instead, we are having a speaker at Interabang on Sunday, November 12. Tex is going to look into picking the speaker and will send a list to Brooke and Steve for their review. Tex will then approach those about speaking at Interabang. Since Interabang closes at 6:00 p.m., we’re planning the event from 5:00 – 7:00 p.m. so that we have some dedicated time after hours.

Our videographer is a Northlake employee, and we’d have to do something extra to get him to video in that space.

Action item: We will have a table at all the Writer’s Blocs so that people can approach and ask about our organization or DFWcon. The following board members will staff on the following dates:

  • Lift: Book drives for the organization haven’t been producing books they can use, so they’d like to have a fund drive instead of an Amazon link.
  • 2018 Conference:

 

  • We signed with Hurst Conference Center.
  • Interabang will be our bookseller.
  • Agents: no invites yet
  • Speakers: looking for speakers but not ready for a public call. Interabang will help us find a keynote speaker.  
  • Steve is in charge of education this year. His concerns are inconsistency in the quality of speakers, and the redundancy of having the same speakers each time.

 

  • Writers Bloc: Interabang may be the new site of Writers Bloc, which seats 100 and costs nothing. Brooke will be meeting with Jeremy Ellis, the general manager, to get on the schedule. For the next Writers Bloc, to avoid confusion, we stay at the Northlake location, which costs $150 in rent.

 

  • Writers Bloc and the Conference: It was recommended that Tex Thompson and the DFW Writers Workshop board meet to discuss how Writers Bloc serves the conference and the workshop.

 

  • Financial Report: Brooke Fossey
    • Our balance is currently $83, 047. At the same time last year, our balance was $106,814.  
    • Our security payment will go up in January by $5 an hour; the total cost of Wednesday night critique security moves up from $105 to $115.

  • One of our members has been abusive during critique.  If this continues, he may need to be removed. This opens us to potential liability.
    • There is an Ethics Committee outlined in the bylaws for just such occasions.
    • The new Executive Board may supersede the Ethics Committee for such situations.
    • We are tabling the issue for now.

 

Philanthropy- Stacey Khunz via Brooke Fossey

  • The next big event is the Fort Worth Book Festival.  Stacey is heading up our representation. Vendor tables are $40.  We are not electing to purchase one.

 

DFWCon Report- Steve Manning via Brooke Fossey

  • Matt Fossey did a full consult on the conference.  His input has been applied to the current event pricing.
  • Jeremy Ellis of Interabang Books is helping acquire a keynote speaker, if we can guarantee book sales.
  • Per the bylaws, if the Conference doesn't make $20,000 the board has to vote on whether to hold another conference the following year.
    • Proposal: Move forward with the 2018 DFWCon.  Unanimously approved.

 

North Texas Giving Day - Candice Watson

  • September 14.  Donations are open on the 7th.
  • Charities can compete for several awards.  One is a Business/Charity alliance.  Candice will approach IHOP, since we've been eating there for about 10 years and they like us.
  • There's a bigger Social Media push this year.  Candice has plans to increase member involvement

  • Google Hangouts have changed so they're not working for us this year

Conference Report - Steve Manning

  • The 2017 conference will break records for attendance and most tickets sold
  • Despite heroic efforts, the conference is still likely to take a loss of around $20,000.  This is much better than the loss anticipated last month.
  • Lessons for next year
    • Narrower early-bird window.  We had a lot of early sign ups, which is good, but costs us some profit margin
    • Less expensive venue.
    • Better projections of 1-day tickets.  Those were a new item, and our predictions weren't very good
    • Not paying keynote speakers.  The money we paid was not offset by ticket sales.
    • New revenue streams like expanding the editing workshops and more merchandising.
  • Latest update: Severe weather may prevent 6 guests from attending.  The Conference Committee is looking at flying them in early, which will incur some extra costs.
  • Per Brooke, the Conference Committee needs to be ready to implement QuickBooks in 3 months.

 

Writers Bloc - Tex Thompson

  • Tex is busy until mid July.  This leaves 3 options for the summer program
    • Just skip the summer
    • have a substitute host
    • Do on-line events all summer, which will also save some money
  • The Board agrees on option 3.

  • Dues Increase.  After nearly 30 years, the board is proposing to raise the dues by $20/year to account for increasing costs.  We will vote on the increase at the next business meeting (February)

    2017 Dues and Fees discussion

 

  • We are proposing to raise the dues to $120/year

  • We are proposing to cap the Conference discount at the break-even point for a conference attendee (currently about $225) so Workshop membership means the Conference doesn't profit on your attendance, but at least doesn't lose any money.
