Business Reports:     

Financial Report

  • Last month we took in $1100 in dues and $1200 for the Conference

     

    Membership Report

  • 200 Active memberships

    New Business

  • Elections are next week.  President, VP2, Director of Philanthropy, and Treasurer are up.  All of them are running for reelection

  • Internal Audit - we are seeking volunteers to conduct an internal audit of or books, preparatory to being able to apply for grants.  The time and place have not been set.  Brooke promises to buy volunteers lunch, and maybe beer.

  • Dues Increase.  After nearly 30 years, the board is proposing to raise the dues by $20/year to account for increasing costs.  We will vote on the increase at the next business meeting (February)

  • Harry Hall - got a job writing for Klines Running Forum

  •  Dick Cassedy also says hi.  He's about half-way through his chemo

  • Tex Thompson - DFW Writers Bloc is scheduled for the next 4 months

    • Saturday, Jan 28, James Gaskin is presenting "Technology for Writers."

    • Tex has several upcoming presentations in the events book

    • There will be a book signing for Tex next Wednesday. Bring your money or your book to be signed.

  • Jessie Blume: The Weatherford Public Library is setting up author programs for August.  See Jessie if you're interested.

    Conference News

  • The conference will be May 6-7 at the Dallas Sheraton.

  • Pitch Session slots should be available to members next week.

  • Book Signing for Tex- Fossey

  • Next week before Workshop we will host a small book-signing party for Tex since she didn't actually have books for the other one

    • Tex will provide books

    • We will provide a table

       

      Treasurer's Report- Karen Farrell

 

  • Wells Fargo account closed.  $8000+/- transferred to Conference Odd Year Account.  $20000 will move to Conference Even Year account in April

  • Main account has Aprox $17,000

  • Conference Odd has Aprox $64000

  • PayPal account has Aprox $3000

  • Total funds Aprox $94,000

  • Karen has about 20 years worth of physical documents.  She will organize the last 3 and shred the earlier ones.

  • Self Audit for 2016 needs to be scheduled

  • 2017 Workshop budget needs to be drawn up and approved

     

    Social Media – Brian Tracey

 

  • Lots of Twitter and Facebook activity in December

  • No blog posts since October. 

    • Brian will tap Shawn Scarber

    • Brooke will ask new member Lauren Sudeberg, who has a book coming out soon

  • The Residency website is now live

    • We will email the Conference and Workshop lists to let them know

  • Old/inactive accounts will be purged from NationBuilder to save money

  • NationBuilder gets more expensive next year.  We are looking at cost/benefit.

     

    Philanthropy – Stacey Kuhnz

 

  • The spring LIFT supplies drive is slated for May.  LIFT may have a presence at the Conference

     

    DFWCon – Jason Meyers

  • 134 current registrations

  • About $3,200 in collected fees, which is about normal for December.  The big push is Jan-Mar.

  • Jason is about to mail out the reminder cards that were implemented last year.

     

    Writers Residency – Jason Meyers

 

  • Page is live and hooked up to Submitible

  • Advertising is ready.  We were waiting till the back end was fully in place.

  • Conference and Workshop members (and former members) are not eligible - which makes sense, because they already live here.

  • Advertising to implement

    • Announcements to other conferences

    • Contact literary magazines

       

      Writers Bloc – Tex Thomson

 

  • Schedule for the next 4 months is set.  It's designed to dovetail into the conference in hopes of driving up conference registrations

  • The back end will be set up on the website tonight

  • Brooke will set up the Facebook stuff tomorrow

  • We have been invited back to ArlingCon for panels and a table in the exhibit hall

     

    2017 Dues and Fees discussion

 

  • We are proposing to raise the dues to $120/year

  • We are proposing to cap the Conference discount at the break-even point for a conference attendee (currently about $225) so Workshop membership means the Conference doesn't profit on your attendance, but at least doesn't lose any money.
